Novan recently announced positive topline efficacy and safety results for the B-SIMPLE4 pivotal Phase 3 clinical study for the treatment of molluscum contagiosum. Novan intends to submit a New Drug Application to the FDA no later than the third quarter of 2022. This position will provide the right individual with the opportunity to contribute significantly to and often lead the team Novan is assembling for this submission effort.

The Office Manager is responsible for ensuring all day-to-day office activities at Novan's corporate headquarters run smoothly and efficiently to support the operations of this fast-paced, growing organization. While conducting these duties, the Office Manager will interact in a friendly and responsive manner with visitors, employees, executives and board members. The Office Manager shall adhere to the Company's quality system including but not limited to the applicable standards, policies and procedures in the areas of responsibility defined in this job description.


  • Responsible for day-to-day office upkeep to ensure Company needs are met on a daily basis. This includes keeping office and kitchen supply areas stocked, clean and functional. Serve as primary interface with office supply, cleaning and break room vendors. Support office mailing needs both inbound and outbound in coordination with the in-house logistics team as well as with external partners such as USPS, UPS and FedEx.
  • Provide administrative support to Company by: responding to internal support requests and action items to resolution, providing oversight of conference room scheduling, preparing meeting rooms prior to and post meetings (including catering or materials preparation), scheduling meetings as requested, assisting with travel arrangements as requested in coordination with corporate travel agent (includes hotel accommodations, transportation, travel itinerary, preparing expense reports), composing and proofreading correspondence, scanning and copying documents, and addressing other general need requests.
  • Organize and maintain paper and electronic files in the Company's document management system(s) and conduct associated data entry in accordance with Company policies and procedures, federal regulations, and audit requirements.
  • Plan, organize and coordinate events that contribute to a positive, desirable work culture. Similarly, organize and coordinate Company events and meetings (including all-hands / townhall meetings). As needed, partner with information technology team to plan, test and have appropriate presentation and communication tools 'executive ready' in advance of scheduled Company events and meetings.
  • Receive visitors with a great first impression. Serve as primary monitor for inbound communications to our primary general phone line.
  • Assist Human Resources team by facilitating on-site aspects of the onboarding process for the Company's newly hired personnel and certain consultants, in accordance with Company processes, procedures and checklists.
  • Provide targeted administrative support to the CEO's office on an as-needed basis, including occasional calendar scheduling and composition/proofread of correspondence and documentation while maintaining confidentiality. Assist executive team, including CEO's office, with management or board meeting preparation, as requested.
  • Support facilities and information technology teams by managing the office security system including, changes to access levels, troubleshooting errors and interfacing between employees, management and the service provider.
  • Maintain operational relationship with landlord as first point of contact for any issue or question and provide timely assistance by either resolving the problem or escalating to appropriate resource.
  • Special Projects – there are always one-off or yearly projects that arise and the Office Manager is an ideal contributor to such projects.
  • Perform other duties as assigned.


  • 5+ years of experience in office management
  • Two-year associates degree
  • Previous experience as an executive secretary, administrative assistant or related function
  • Outgoing, energetic, honest, flexible, dependable, works independently, self-motivated team player with a strong work ethic, with exceptional interpersonal communication skills, the ability to effectively multitask in an interrupt-driven environment and exhibits sound judgment.
  • Ability to work with and maintain confidential or sensitive information.
  • Proficiency with all Microsoft Office 365 applications (e.g., Excel, Word, Outlook, and PowerPoint).


  • Four-year college or further advanced degree
  • Previous experience supporting C-level executives
  • Legal and/or accounting document management and/or data entry experience
  • Experience with procurement management and approval routing software platform, accounting general ledger system, contract management software.
