In this role, you will work closely with all levels of CAI staff in a professional, collaborative, and supportive manner. You will have primary responsibility for identifying, establishing, implementing, and managing administrative operations and procedures to support the CAI leadership team, staff and members. This role requires sound judgment, excellent problem solving skills, proven ability to hold individuals and teams accountable, and exemplary organizational skills. This position is ideal for take-charge individuals who are resourceful, discreet and creative.

DUTIES

  • Support CEO on various initiatives and projects to maximize efficiency and effectiveness
  • Provide administrative support to the Board of Directors and Committees
  • Collect, proof, maintain and distribute confidential key data to leadership team
  • Provide administrative support to CEO for correspondence, scheduling, power point presentations, research, filing, data entry and data retrieval
  • Relieve leadership team of administrative, logistical and organizational details
  • Maintain general office efficiency and productivity by ensuring appropriate resources and processes are in place to support staff. This requires an awareness of staff and member needs, and the resourcefulness to identify and implement appropriate solutions, including copier and printers leases, virtual meeting tools, shredding service, offsite storage, phone and internet providers
  • Coordinate setup for meetings and events for the Raleigh facility
  • Provide backup and support to the Office Coordinator for vacation, sick, and miscellaneous needs.   
  • Provide general administrative support as needed.

 

QUALIFICATIONS

  • 5-7 years' administrative experience in a professional environment supporting senior leaders – previous experience in a membership association a plus
  • Outstanding organizational and time management skills with great attention to detail and follow-up; must be able to meet strict deadlines and multi-task
  • Ability to tackle a project with minimal direction and detail provided
  • Positive, poised, flexible, patient – ability to work well with various individuals, departments and customers
  • Proficiency with a wide variety of technologies, in order to accomplish tasks efficiently and communicate appropriately.  Examples include Outlook, Power Point, Social Media, Internet Research, Contact Databases, Word, and CRM software
  • Ability to take initiative in an environment of change and growth
  • Focus on continuous improvement and exceeding expectations
  • Strong interpersonal skills
