The American Society of Echocardiography Foundation (ASEF) is the ASE's charitable arm, helping to assure the viability and visibility of cardiovascular ultrasound. The ASE Foundation was created to provide support for initiatives, such as training scholarships and scientific research, not supported by membership dues. The scope and success of these projects are completely dependent on donor giving.

We are seeking an Administrative Assistant to provide administrative support to the ASE Foundation. This is a part-time position (20 hours a week).  Hours are flexible with general office hours between 8:00-5:00.   Only those interested in working part time should apply.  Will be responsible for customer service, implementing administrative systems, procedures, and policies, and handling clerical and database-related projects. All responsibilities will be performed from our headquarters office in Durham, NC.  

Specific job functions and responsibilities will include:

  • First point of customer contact for all Foundation inquiries.
  • Assist the Foundation Manager in managing the donor database, records, and reporting.
    • Process and track donor payments, invoices, and notices.
    • Ensure accurate and timely donor recognition. Prepare acknowledgement letters and other donor correspondence as needed.
    • Create monthly fundraising reports and other database reports as needed.
  • Assist the Foundation Manager in tracking financial targets and other key metrics for the Annual Appeal campaign.
  • Support the implementation of the Foundation's marketing and fundraising efforts as needed.
  • Support the maintenance of all Foundation files and inventory.
  • Help pack and ship ASEF supplies for healthcare outreach events and annual meeting.
  • Contribute to other projects and tasks as needed in support of ASEF's success.
  • Support the organizational structure of the ASE/ASEF by attending staff meetings, working on internal task forces, seeking and attending professional development opportunities, working in a team atmosphere and cooperating with other staff members, and completing paperwork and timesheets in a timely manner.

Minimum Job Requirements:

  • Education: High School diploma or equivalent required; College degree preferred.
  • Experience: Proven ability managing projects that are computer-based.

  • Good interpersonal skills, professional appearance and demeanor.

  • Must be able to effectively meet deadlines.
  • Proven ability to process and accurately manage data.
  • Strong attention to detail.
